POSITION: Executive Assistant to the Finance Team

LOCATION: New York, NY (In office Mon-Thur, Remote on Fri)

HOURS: 9:00AM - 5:30PM with flexibility

COMPENSATION: $100-120K DOE + Benefits + Discretionary Bonus

BACHELOR’S DEGREE: Required

Our client is a privately-held global industrial company with businesses spanning building solutions and specialty chemicals and annual revenues of approximately $11 billion. They are seeking an experienced, highly attentive and motivated Executive Assistant to join their Finance team, supporting Head of Strategic Initiatives, Chief Accounting Officer, Treasurer and Vice President, and Controller. The ideal candidate will be an exceptional self-starter who thrives in a dynamic environment and is highly autonomous, proactively anticipates needs and manages ambiguity with minimal direction. This role requires emotional intelligence, unwavering reliability and a proven ability to independently prioritize complex requests, effectively manage multiple executive personalities and communication styles, and demonstrate superior judgment and intellectual curiosity in all tasks.

Responsibilities of the Executive Assistant:

-Strategically managing and maintaining the executives’ calendars; scheduling and rescheduling appointments with both internal and external stakeholders

-Coordinating domestic and international travel arrangements (e.g., flights, hotel accommodations, ground transportation) and creating itineraries as needed

-Scheduling individual, team and interdepartmental meetings; aligning calendars across stakeholders, operating companies and timezones

-Preparing and submitting expense reports, ensuring timely and accurate submission according to company policy

-Handling highly sensitive and confidential information with the utmost discretion and integrity

-Organizing and preparing for internal and external stakeholder meetings, including gathering and printing documents and attending to meeting logistics

-Working in close partnership with other Executive Assistants cross-functionally and throughout the office

Requirements of the Executive Assistant:

-College degree or equivalent

-3-5 years’ prior experience working in a fast-paced environment and supporting dynamic executives

-Prior experience with attorneys is a nice-to-have but not required

-A meticulous and highly organized individual with impeccable communication skills, both written and verbal

-Strong interpersonal skills and the ability to communicate and build relationships with internal and external lawyers, staff and business partners

-Proactive problem solver who thinks ahead, anticipates problems quickly and resolves or escalates them accordingly with the executives

-A roll-up-your-sleeves mentality and low-ego attitude, with the ability to work flexibly, in a fast-paced environment and in a collaborative team

-Passion for details and providing executive support

-Proven track record of working independently and as part of a team

-Able to handle multiple tasks simultaneously, with sophistication and ease

-Demonstrates an intellectual curiosity and continuous drive to improve performance

-Demonstrates openness to constructive feedback and the flexibility to adjust behavior or performance as needed

-Prior knowledge of G Suite, including Google Calendar and Google Slides preferred; tech-savvy and familiarity with PowerPoint for basic slide creation
