The Executive Assistant plays a pivotal role in ensuring the smooth operation of our senior executives' daily activities by providing comprehensive administrative support. This position demands a proactive and detail-oriented professional who excels in communication and thrives in a fast-paced environment. The ideal candidate will possess exceptional organizational skills and the ability to prioritize with efficiency and accuracy. Given the nature of the role, a high level of discretion and confidentiality is paramount, as the Executive Assistant will be entrusted with handling sensitive information and making critical decisions on behalf of the executives.

• Administrative Support: Provide high-level administrative support to senior executives, including handling calendars, scheduling meetings, and coordinating travel arrangements.
• Communication Management: Serve as the primary point of contact for internal and external communications, ensuring timely and accurate responses. Handle and prioritize incoming emails, phone calls, and other communications.
• Document Preparation: Prepare and edit correspondence, reports, presentations, and other documents as required.
• Meeting Coordination: Organize and coordinate meetings and events, including preparing agendas, taking minutes, and following up on action items.
• Project Management: Assist in the planning and execution of special projects and initiatives, ensuring deadlines are met and objectives are achieved.
• Confidentiality: Handle sensitive and confidential information with the utmost discretion and professionalism.
• Relationship Building: Foster strong relationships with internal and external team members to facilitate effective communication and collaboration.
• Problem Solving: Anticipate the needs of executives and proactively address potential issues before they arise.
• Office Management: Oversee office operations and procedures to ensure efficiency and effectiveness.

Required:

• High school diploma and 7 years related experience required.
• Proficiency in Microsoft application skills, including Word, Excel, and PowerPoint.

Highly Preferred:

• Minimum of 7 years of experience as an Executive Assistant or in a similar role.
• Experience as an Executive Assistant or in a similar administrative role.
• Exceptional written and verbal communication skills.
• Strong organizational and time-management abilities.
• High level of discretion and confidentiality.
• Strong problem-solving skills and attention to detail.
• Ability to balance multiple tasks and prioritize efficiently.
