Role Overview

We are seeking a detail-oriented professional to support senior leadership in managing the documentation of meetings by producing high-quality executive summaries , organizing digital files, processing transcripts (including via the use of AI tools), and manually typing and proofreading. This role requires precision, discretion, and the ability to synthesize complex discussions into concise yet detail-rich, actionable insights for high-level decision-makers.

Key Responsibilities

  • Produce polished executive meeting summaries that highlight key decisions, action items, and implications for leadership.
  • Organize and maintain digital files in a structured, secure, and accessible manner.
  • Attend virtual meetings and take detailed notes.
  • Use AI tools to assist in the processing of meeting notes and transcripts.
  • Manually type, proofread, and format documents with strict attention to detail.
  • Ensure accuracy and consistency across all written products.
  • Communicate professionally and clearly, both verbally and in writing.
  • Dress professionally for occasional on-camera meetings.
  • Maintain strict confidentiality and adhere to all applicable compliance standards.
  • Perform other duties as assigned, which may include technical writing, editing, research, brief preparation, or formatting and conducting presentations.

Requirements:

Minimum Requirements

  • U.S. Citizenship
  • Must be located within the United States and able to work remotely with reliable internet and workspace (non-negotiable).
  • Must be able to pass a background check (non-negotiable).
  • Exceptional attention to detail and accuracy.
  • Strong written and verbal communication skills.
  • Proficiency with digital tools for document management, transcription, and summarization (AI/LLM familiarity preferred).
  • Ability to independently manage tasks with minimal supervision.
  • High standards of professionalism, discretion, and reliability.

Preferred Qualifications

  • Prior military service or government experience (highly valued).
  • Bachelor’s degree in Communications, English, Business, or related field (not required but a plus).
  • Experience as an executive assistant, administrative professional, or in roles requiring professional writing and summarization.
  • Familiarity with handling sensitive, CUI, or classified material; or the equivalent in a private sector organization.
