Position Description:

The University of Louisville is seeking a Library Assistant III. The primary function of this position is to manage the Interlibrary Loan (ILL) by overseeing all operational responsibilities for borrowing, lending, and document delivery services provided by Kornhauser Health Sciences Library. This position will perform complex technical operations and transactions using a variety of online bibliographic databases and ILL management software to process and monitor requests for materials from outside institutions throughout the U.S. and internationally. Duties include managing billing and payments to nonreciprocal institutions generating statistical reports necessary to inform decisions on collection development, hiring and supervising all part-time student assistants, and staffing public service desks on rotation to provide circulation and ready reference services. Serves as primary back-up for the Manager of Public Access Services. This position relies on teamwork and judgment to establish priorities among changing and competing demands. This position works primarily during regular business hours, with occasional evenings and weekends as needed.

Essential Duties and Responsibilities
  • Oversees specialized and technical functions related to the management of Interlibrary loan service operations, including implementation of policies and procedures.
  • Processes and monitors interlibrary borrow requests from university community members to obtain research materials from lending institutions throughout the U.S. and internationally.
  • Processes and ensures loan requests from outside institutions both nationally and internationally are filled in a timely manner.
  • Hires, trains, and supervises student assistants who staff public service desks.
  • Compiles and analyzes ILL borrowing and lending statistics. Monitors compliance with copyright regulations.
  • Assists patrons with questions concerning submission, verification, retrieval, and delivery of interlibrary loan requests and materials.
  • Oversees billing and payments related to lending and borrowing charges not covered by reciprocal agreements.
  • Takes advantage of professional and online networking resources to stay informed of ILL trends and innovations at peer institutions. Maintains awareness of new services and technologies in the field of ILL.
  • Works with the Head of Public Access Services to establish and evaluate policies and procedures governing the exchange of materials with other institutions.
  • Maintains proficiency with ILL management software. Stays informed of updates and new releases and makes use of a network of ILL management software users, both local and national, to maintain awareness of best practices and to solve technical problems.
  • Shares in the supervision of the public service desk, which may include opening and closing the library, oversees daily circulation functions, addresses ready reference questions when reference staff are not available, directs patrons to appropriate information sources, handles emergency situations, and supervises student employees. Continually seeks new ways to improve efficiency and customer service at public service desk.
Preferred Qualifications
  • Bachelor's degree in liberal arts, business, computer/information science or related field experience working in an academic library
  • Experience with WorldCat Management Systems (WMS) or other library resource management system
  • Experience with ILLIAD or other Interlibrary Loan management system or resource sharing system
  • Four years of progressively responsible experience related to areas of assignment, including one year of lead or supervisory experience

Compensation Target : $18.56 per hour

Compensation will be commensurate to candidate experience.
