About the Role We are seeking a Medical Record Coordinator to support the HEDIS Hybrid Review process for a leading healthcare organization. This role focuses on obtaining medical records from provider offices and electronic health record (EHR) systems to ensure timely, accurate, and compliant documentation collection. The position plays a critical part in facilitating quality measure abstraction and maintaining data integrity. Ideal candidates are detail-oriented, organized, and comfortable navigating healthcare systems and privacy protocols.
Job Description As a Medical Record Coordinator, you will:
Medical Record Collection & Retrieval - Initiate outreach to provider offices via phone, email, fax, and secure portals.
- Retrieve records from EHR systems (e.g., Epic) and other designated platforms.
- Follow standardized protocols for requesting and receiving documentation.
- Escalate non-responsive providers or access issues to the team lead promptly.
Documentation Review & Validation - Review records for completeness, legibility, and relevance to targeted measures.
- Identify and flag missing or insufficient documentation.
- Collaborate with medical record team and abstractors to clarify documentation needs.
- Maintain accurate logs of reviewed and validated records.
Data Entry & System Upload - Use designated platforms (e.g., SharePoint, internal tools) to upload records.
- Ensure correct naming and placement of medical records.
- Perform quality checks to confirm successful uploads.
Communication & Collaboration - Provide timely updates to the Clinical Review team on retrieval progress.
- Respond to provider inquiries professionally and promptly.
- Participate in team huddles or check-ins to share status and challenges.
- Document all outreach and communication efforts in tracking tools.
Compliance & Confidentiality - Handle all PHI securely and in accordance with company policy.
- Use encrypted channels for record transmission and storage.
- Report any suspected breaches or compliance concerns immediately.
- Complete required privacy and security training prior to record handling.
Qualifications Required: - High school diploma or equivalent, plus 2 years of related work experience.
- Ability to maintain a professional remote work environment.
- Internet speed requirements:
- Upload: Minimum 5+ Mbps
- Download: Minimum 25+ Mbps
- Ping: Less than 100ms
- Candidates must complete an internet speed test and submit results with their application. Preferred:
- Associate degree or higher in health information management or related field.
- Prior experience in medical record retrieval, HEDIS, or healthcare quality improvement.
- Familiarity with EHR systems (Epic, Cerner, etc.) and secure document exchange platforms.
