Position Summary
This position contributes to the successful operation of the comprehensive Philanthropy & Alumni Engagement (PAE) Stewardship Program. The coordinator provides organizational assistance and advanced administrative and operational support to the Stewardship team in the Board and Donor Relations department.
Responsibilities - Coordinate and execute business processes for UA and UAF presidential acknowledgments and other acknowledgments as assigned; ensure the accuracy and timeliness of donor acknowledgments; upload and maintain the letter templates in the donor database.
- Properly utilize business practices to produce PAE tribute notification letters ensuring the accuracy and timeliness of notifications to tributees.
- Oversee PAE pledge payment reminder process, ensuring accurate and timely delivery of payment reminders to donors.
- Ensure central operations stewardship activities are accurately recorded in the donor database.
- Manage and approve updates of high-profile donor records in the database as needed.
- Request, analyze and produce donor lists; generate giving reports as needed. This includes verification and reformatting data for presentation dependent upon the needs of the end user of the list or report.
- Serve as first point of contact for campus and PAE colleagues seeking assistance from the stewardship team via stewardship@uafoundation.org and/or the Jira ticketing system.
- Provide administrative support to the stewardship team.
- Contribute to the development and completion of the Annual and Endowment Report project.
- Support the planning, execution, and presentation aspects of the Board and Donor Relations Forum.
- Offer backup support to the donor services email and phone line as necessary.
- Provide backup coverage for the reception desk at the Swede Johnson Building, on a regularly scheduled monthly basis.
- Perform other duties as assigned, contributing to the overall effectiveness of the stewardship team.

- Ability to manage advanced support functions and be proactive in pre-empting and taking corrective actions to resolve potential problems.
- Awareness of current events and situations that affect position, as well as key campus leaders and high-profile individuals who have contact with the University of Arizona Foundation.
- Ability to be diplomatic; capable of handling highly sensitive and confidential information and always maintaining strict donor confidentiality.
- Capacity to work independently while effectively collaborating within a team.
- Meticulous attention to detail and excellent follow-through skills.
- Proficiency in the use of personal computers and Microsoft Office software (Word, Excel, PowerPoint, and Outlook).
- Strong interpersonal skills with the ability to interface with internal and external stakeholders with diplomacy and professionalism.
- Ability to build and maintain productive relationships with PAE colleagues, UA faculty, and staff members.
- Demonstrated commitment to exceptional customer service with the ability to translate PAE guiding principle of donor-centricity into programmatic practices.

Minimum Qualification - Bachelor’s degree
- Minimum of three years directly related administrative customer service focused experience, including proficiency in MS Word and Excel; OR Microsoft Office; OR
- Any equivalent combination of experience, training, and/or education approved by Human Resources
Preferred Qualifications - Knowledge of donor relations and stewardship practices.
- Experience using Raiser’s Edge or Blackbaud CRM.
- Experience working within an academic setting or large, complex institution.
- Familiar with the UA campus.
Work Environment - Standard office environment with close work on a personal computer in open, busy work environment.
- High exposure to a computer screen.
- Requires ability to travel throughout campus and possibly with greater Tucson community.
