Position Overview

The Society is seeking a Volunteer Manager to contribute to the Science Education Programs Department. This person will primarily support the Regeneron International Science and Engineering Fair (ISEF). This position reports to the Chief Program Officer while also working in collaboration with multiple departments and in direct coordination with the Regeneron ISEF Program Manager. This is an exempt position.

The Society manages an affiliated fair network of over 400 regional, state and country fairs that send Finalists to Regeneron International Science and Engineering Fair (ISEF). The ISEF serves high school students 9-12 as the world's largest pre-collegiate STEM research competition, gathering thousands of high school students from around the world. Its success is dependent on volunteer support at all levels, particularly in identifying over 1,000 qualified judges, 200 interpreters across multiple languages and 500 general volunteers to support the week-long competition. Each year a Local Arrangements Committee is identified in the host city to support the manager's volunteer recruitment and onsite management efforts. Additionally, there are several core volunteer committees established to support management of the competition throughout the year and onsite.
Job Responsibilities
  • Oversee the recruitment of volunteers for leadership roles in the Local Arrangements Committee as well as supporting and spearheading efforts in the recruitment of judges, interpreters and general volunteers.
  • Develop and implement recruiting strategies.
  • Work with internal stakeholders to identify volunteer needs/on-site support required and write job descriptions accordingly.
  • Manage the online volunteer portal, coordinating the volunteer roles and shifts necessary, reviewing applications and maintaining the volunteer email account to provide customer service to existing and potential volunteers.
  • Lead volunteer communication efforts for recruitment and retention. Develop and lead volunteer training and support materials across the multiple levels of volunteers supporting Regeneron ISEF.
  • Manage on-site logistics in support of individual volunteers and their activities.
  • Recruit, manage and match interpreters to international finalists and support the students and interpreters on judging day.
  • Oversee a third-party vendor to schedule, check-in and badge volunteers on site.
  • Manage the administration and reporting of volunteers to support donor relations and to provide appropriate documentation of hours served.
Qualifications
  • Outstanding and effective interpersonal skills with people of all ages and backgrounds
  • Strong communication skills both verbal and written.
  • The ability to work with diverse constituents and experience in convening and coordinating committees and working groups.
  • Computer proficiency including: Microsoft Office (Outlook, Word, Excel, PowerPoint), database management and website management required.
  • Experience in Microsoft 365 Dynamics, Microsoft Sharepoint, Volunteer Management software and/or CRM management is desirable.
  • Strong work ethic with the ability to work well under pressure in a dynamic environment.

  • Must be willing and able to travel, including 10 consecutive days for ISEF over Mother's Day weekend in May, and for several site visits to the host city throughout the year.
Desirable Qualifications
  • Five years of directly related professional experience in volunteer management.
  • Education in or affinity for STEM fields.

Work Environment

While performing the duties of this job, the employee usually works in an office setting. Our office is located in Washington, D.C. near the Dupont Circle and Farragut North Metro stations. The Society is operating on a hybrid work schedule.
Physical Requirements

This role's work involves remaining in a stationary position most of the time in front of a computer, using a keyboard, mouse, and telephone. It also involves regularly operating a computer and other office equipment, occasionally moving about the work site to access file cabinets office equipment and communicating or exchanging information with co-workers and other individuals in person or electronically.
Salary

$80,000 to $90,000; salary is commensurate with experience.
Position Type and Expected Hours

This is a full-time exempt position. Days and hours of work are Monday through Friday during normal hours of the Society. The normal business hours of the Society are 8:30 a.m. - 5:00 p.m. EST, with core hours of 10:00 a.m. - 3:00 p.m. EST.

It is anticipated that this position would travel 2-3 weeks for programs and site visits up to 5-6 weeks annually.
