Job Purpose and Position Overview:

Snow & Company is a dynamic, fast-growing shipyard specializing in new vessel construction and ship repair. Located in Fremont, we are currently seeking a well-organized and proactive Accounts Payable Specialist to join our team.

This position plays a critical role in supporting our financial operations by managing accounts payable processes with precision and timeliness. As a key contributor to our close-knit accounting team, you will be responsible for maintaining accurate and detailed records, processing vendor invoices, handling payment inquiries, and assisting with general bookkeeping tasks.

You do not need a background in the marine industry to succeed in this role—what matters most is your attention to detail, ability to self-start and work independently, strong organizational skills, and your commitment to keeping our financial records in excellent order. You’ll be instrumental in helping us maintain smooth day-to-day operations as we continue to grow and take on exciting long-term projects.

Key Responsibilities:

• Enter and code vendor invoices and receipts into QuickBooks, ensuring proper job costing and account classification
• Match purchase orders, packing slips, and invoices for accuracy
• Manage and reconcile expense reports and other financial records
• Review and verify the accuracy of purchase orders and payment documentation
• Reconcile monthly statements and transaction histories
• Maintain meticulous files for invoices, payment records, and purchase orders
• Respond to vendor inquiries professionally and resolve payment issues promptly
• Manage and monitor the Accounts Payable email inbox and respond appropriately
• Provide support to the Bookkeeper with accounting tasks

Essential Skills:

• Minimum of 3 years of hands-on experience in Accounts Payable
• Proficient in QuickBooks, including vendor setup, invoice entry, and payment processing
• Strong command of MS Office (Excel, Word, Outlook) and Adobe Acrobat
• Familiarity with purchase orders, job costing, and invoicing structures for both fixed-price and time & materials contracts
• Excellent time management and organizational skills
• Strong attention to detail and accuracy in data entry
• Ability to handle confidential financial information with discretion

Highly Desired:

• Associate’s or Bachelor’s degree in Accounting, Business, or related field
• Prior experience in marine, construction, or industrial environments
• Experience communicating with vendors and tracking shipments

Work Environment & Physical Requirements:

This position is primarily based in an office environment located within an active boatyard. Occasional visits to vessels, the shop, or other production areas may be required for coordination with internal teams or vendors. These areas involve uneven surfaces and may require climbing gangways or ladders. Appropriate personal protective equipment (PPE) and adherence to safety protocols are mandatory.

Pay and Benefits:

• $25 - $30 / hour
• Full time, overtime nonexempt position
